OKLAHOMA COUNTY COURT CLERK PERFORMANCE EXPECTATIONS: In the performance of their respective tasks and duties, all team members are expected to meet the following requirements:• Have excellent customer service skills.• Works independently performing quality work within deadlines while understanding the necessity for communicating and coordinating work efforts with other team members.• Have simple computer skills, necessary to complete their duties and have excellent written and verbal communication abilities with attention to detail.• Establishes and maintains effective professional working relationships with Team Members, Citizens, and Management.• Maintains strict confidentiality as directed; be honest, trustworthy, dependable, and flexible.POSITION PURPOSE: The incumbent in this position is responsible for collection of the judge's docket(s), pulls files and gathers appropriate documents for civil or criminal jury trials ESSENTIAL DUTIES AND RESPONSIBILITIES: Include, but are not limited to the following:• Maintains regular attendance at work and is consistently on time.• Must be able to be present at designated work site minimum of 40 hours per week, as established by supervisor.• Retrieving the judge's dockets and pulling the appropriate court files for the docket.• Incumbent, as the last quality check for the Court Clerk, is specifically required to check each file for any document misfiled in the case file and remove any misfiled instrument before giving the file to the judge. Any and all misfiled documents/instruments shall be returned to the Department Head of the files area not later than 5:00 p.m. the following business day after the discovery.• Incumbent also gathers relevant documents for either civil or criminal jury trials.• Records all minutes according to judges ruling as the docket is completed• Incumbent enters court minutes into the court services data base computer system along with scheduled hearing date.• Incumbent may be required to work at either the civil or criminal counter when their judge is absent or has no work for them and/or the chambers is closed.• Administers oath to jurors and helps empanels jurors.• Reviews all journal entries to ensure they are correctly dated and signed by the attorney or party submitting the order.• Reviews documents to ensure all parties have been properly served and that proof of service or answers in the case have been duly recorded for all cases on the docket.• Reviews the daily minutes from the dockets and enters these minutes into the court services data based computer system along with scheduled hearing dates.• Reviews all paperwork to ensure correct case number and that they are correctly dated and signed by all parties.• Assists with the non-jury trial schedule, preliminary hearings and other judge's clerk as directed.• Other duties as assigned.

Experience

KNOWLEDGE AND SKILLS:• Able to promptly answer high volume phone calls and citizen requests for assistance.• Must have some knowledge of county government and particularly the County Court Clerk's Office.• Good communication skills.• Detail oriented.• Works well with others• Able to handle stressful situations with courtesy and tact with citizens that could be emotional, excitable and/or upset over a law enforcement or court action.• Positive Attitude• Able to follow written and verbal instructions and communicate effectively (verbal, written).• Previous training of a general office, clerical nature.• Must be computer literate• Willingness to learn and develop• Motivated and self-directed • Willingness to follow the chain of command system of management system.Experience of county government and /or a County Clerk’s Office experience is highly preferred including a court services data base system.

Education Required

High School graduate or G.E.D. Possess one to three years of experience in a general clerical or administrative service and support capacity; or equivalent combination of education and training.
