Position: Part-Time Receptionist FLSA: Non-Exempt Location: Oklahoma County Juvenile Bureau (OCJB) 5905 N. Classen Court, Oklahoma City, Oklahoma 73118Hours: Monday through Wednesday 8:00 a.m. to 4:00 p.m. with one (1) hour lunch. The shift assigned can change based on the needs of the facility. GENERAL PURPOSE: Performs responsible clerical and administrative duties and greets public. Responsible for cash handling procedures including but not limited to: restitution, probation fees and misc. monies from various agencies. Responsible for multiple phones lines within the agency and all incoming and outgoing mail.SUPERVISION RECEIVED: Works under the direct supervision of the Deputy Director. SUPERVISION EXERCISED: This position does not have supervisory responsibilities. ESSENTIAL DUTIES AND RESPONSIBILITIES:Performs routine receptionist duties, receives, and routes visitors and answers telephone calls. Completes limited, defined clerical tasks in time not taken up by receptionist duties. Directs the flow of visitors through the reception area including employees, general public, public officials, and others. Answers agency telephone system, exercising diplomacy and tact in receiving calls of importance as well as those of a routine nature. Accurately records messages left by callers for agency employees. Responds to inquiries and answers questions of citizens and others, and refers, when necessary, to appropriate persons. Greets visitors, making them comfortable while waiting for appointments. Receives mail and other correspondence for the agency. Provides necessary paperwork to visiting youth and assists youth in completing forms. If necessary, announces visitors to employees in a timely fashion. Prepares, completes, and maintains a variety of complex records and files, to include receiving, logging and preparations of deposit reports of monies generated from various sources, as per agency guidelines. Collects fees, and restitution payments. Complete scanning records for the agency. Operates office equipment and machines. Provides support to the Purchasing Clerk as it relates to Inventory.Assists other Administrative Assistants: In cooperative efforts with courier responsibilities to other county buildings and agencies with which the OCJB conducts business, etc. NOTE: The duties listed above are intended only as illustrations of the various types of work that may be performed. DESIRED MINIMUM QUALIFICATIONS:Education and Experience:High school diploma or equivalent and two (2) years of clerical experience. Basic computer skills preferred. Candidates with experience and skill in utilizing a variety of computer word processing, spread sheet and other programs will be given preference.Special Requirements:Must have a valid state driver’s license.Must have a working telephone number where employee can be reached.Necessary Knowledge, Skills, and Abilities:Ability to type documents utilizing proper spelling, punctuation, and grammar. Must have the ability to handle stressful situations, communicate effectively and work independently.Must possess knowledge of Business English, organization and filing methods, basic business arithmetic and bookkeeping concepts. Must have the ability to effectively meet and communicate with the public and co-workers utilizing tact when necessary; to understand and follow agency policies and procedures and/or written or oral instructions.Ability to establish and maintain effective working relationships with others.Ability to maintain confidentiality when required. Ability to determine the most efficient method for completing tasks and insure the accurate and timely completion of projects. Ability to work independently with a high degree of assertiveness and resourcefulness. TOOLS AND EQUIPMENT USED:Computers, calculators, telephones, photocopiers, fax machines, scanners, and other office equipment. PHYSICAL DEMANDS:Must be able to push/pull with at least twenty (20) pounds of force to operate the secure doors within the Detention facility as needed.Must be able to occasionally lift/carry up to twenty-five pounds.Must be able to occasionally kneel/bend/crouch as necessary for filing/administrative purposes.Must have the ability to read, write, and comprehend to accomplish various administrative reports, filing, and number recognition related tasks.Must have the ability to listen and communicate in such a way that effective communication with coworkers can be accomplished.Must have clarity of vision and dexterity to operate various computer/technological equipment including telephone, keyboard, mouse, computer, calculator, copy machine, etc.This position is primarily sedentary, approximately 70% sitting and 30% walking/standing.WORK ENVIRONMENT:The Receptionist work environment may vary depending on office duty. The office noise level will range from quiet to moderate. The work environment involves exposure to the public and the potential for volatile situations.

Experience

Basic computer skills preferred. Candidates with experience and skill in utilizing a variety of computer word processing, spread sheet and other programs will be given preference.

Education Required

High school diploma or equivalent and two (2) years of clerical experience.
